Sending group communications to your contacts

When the volunteer Portal reached the end of its life last year, groups lost direct access to their contact lists. Since then, your group’s had to request contact information by contacting the Volunteer Support Team.

We’re very pleased that we can now introduce the new process that restores direct access to this information. Apologies once more that it’s taken us this long to get a working solution in place. We realise how frustrating this has been and thank you for your patience.

We’d also like to thank the volunteers who helped us test the new process and provided valuable feedback.

In the new process, you’ll now be able to access the most up-to-date contact data on SharePoint if you’re in one of these roles:

  • Administration Volunteer
  • Communications Volunteer
  • Group Coordinator

I’m in one of these roles. How soon can I get going?

From Tuesday 15 July, if you volunteer in one of the roles listed above, you’ll receive an email notification containing a unique link that’ll give you access to your group’s contact list on SharePoint.

The email will be sent to your personal MS Society email address from our MS Automation Service account ([email protected]). Please be assured that this is a legitimate email and safe to open.

Click on the 'Open’ button included in that email and you'll see the files on SharePoint that contain your group’s contact list.

To access the data, you'll need to be logged into your personal MS Society email account.

What do I need to do now?

If you’re an Administration Volunteer, Communications Volunteer or Group Coordinator and you’ve received your unique link by email, you’ll now be able to access your group’s contact list online on SharePoint. We recommend that you bookmark that link, so you can access it any time you need to send communications on behalf of your group.

The contact information on SharePoint is updated daily.

There’s no further need to contact the Volunteer Support Team to request group contact data.

Need any support?

We’ve created a guidance document that explains the new process and hopefully helps answer any questions you may have.

If you have any other questions, or problems accessing the files, please contact the Volunteer Support Team on 0300 500 8084 (option#3) or [email protected].
